Sometimes when you're creating a new workflow, you want to duplicate a step, section, or field. Perhaps you want to do some experimenting without totally getting rid of what's currently in place, or you have sections that are triggered by logic depending on previous answers. For example, in an Occupancy Report, the applicant will be reporting on a certain number of units and their tenants, and the section for each tenant will be the same. Being able to copy a component of a workflow can save time during setup and ensure that data is consistent..
Look for our "copy" symbol (two little boxes on top of each other) to quickly duplicate a step, section, or a field.
There are three aspects of a workflow that you may copy:
This feature is helpful when you've realized that two steps at different points in your workflow will have similar questions
You can find the copy button to the left of the "Delete" button when hovering over a workflow step
This is also useful because (as you'll see below) you can't move copied sections or fields to a new step - so sometimes it's easiest to copy an entire step and then delete things you don't need.
*Please note that you are NOT able to move steps between workflows. So sometimes if you want to "move" one or more steps to a different workflow, you may want to duplicate the whole workflow and then delete the steps you don't need.
Section inside of a Step:
A section is the area of a workflow's Collect Information Steps where you put groups of questions (fields). It can be distinguished by it's blue/green header
Two sections of a specific step sometimes have related groups of questions
For Example, you need to collect the same contact information for the applicant and a contactor, property owner, or other person involved with the workflow
You can find the copy button to the right of the "Y" symbol (logic configuration button) to the right of your screen
** Please note when you copy a section it will show up at the very bottom of the Step you're working on - if you have many sections you'll have to scroll down to see it.
*Please note that you are NOT able to move sections or fields between steps. So sometimes if you want to "move" one or more sections to a different step, you may want to copy the whole step and then delete the sections or fields you don't need.
Field inside a Section:
Copying a field is useful when you need to copy the same type of question repeatedly
For example, the answers to a series of different questions are always the same set of 5 multiple choice options
You can find the copy button to the right of the "Open Data" Switch on the right of the screen
*Please note that you are NOT able to move fields or sections between steps. So sometimes if you want to "move" one or more fields to a different step, you may want to copy the whole step and then delete the sections/ fields you don't need.
